Calendar - Creating A New Event

The RocketFusion Calendar Module has several powerful features built in, such as:

  • The ability to have your event appear in a side box on all pages of the website.
  • The ability to have recurring events.
  • The ability to categorize calendar events by both category and topic.
  • The ability to attach a file.
  • The ability to attach an online form (for class registration, etc).
  • The ability to attach a "main photo" for easy imagery on the event page, as well as social media.
  • The ability to share the calendar event on social media.
  • The ability to send the event by bulk email to lists of people who have filled in your Contact Us form.
  • The ability to create a board meeting agenda (if you have the Open Government module installed)

Once you are logged in as an administrator, your calendar will look like this (below). To create a new event simply click the green to get to the New Calendar Event form.

New Calendar Event Form

Go to your calendar page, find the date the event occurs on and click the green to get to the new calendar event form...

  1. Enter in the event title
  2. Enter in the event location (this label can be changed by the Site Admin)
  3. The Date should already be set because you clicked the green plus on a particular date
  4. Select the event's start time. If it's an all-day event, scroll to the top of the list and select "None Specified"
  5. Select the event's end time. If you don't know the ending time, scroll to the top of the list and select "None Specified"
  6. Make sure you leave "Display" set to Yes or the event will not display in the calendar

Categories and Topics

Calendar Categories and Topics are ways of segregating or categorizing your events. "Topic" is typically used to create different calendars, such as Town Meetings, and Community Events. "Category" is typically used for different departments, such as Accounting Department and Zoning Board.

By default every website has a Calendar Category called "General Events" and a default Calendar Topic called "Main Calendar." If you have not added more categories or topics, your Calendar entry form will not show the drop-downs to select, since there's nothing to really select -- there's only one option.

If your website has more than one Category or Topic a drop-down for each will appear above your Calendar grid so people visiting your website will be able to filter the events.

To add more Calendar Categories or Topics, mouse-over the white [...] button next to the red Edit button, and once the other buttons appear click on Manage Categories or Manage Topics.

Attaching Various Things

At this point you have several "attachment" options: (a) you can attach a file, either one already uploaded to your site or a new one you upload now, (b) you can attach an online form (must already be created), or (c) you can attach a photo as the "main photo."

Attaching a File

  1. Click the Attach File button
  2. To choose from existing files on your site:
    1. Select an existing file from the drop-down
    2. If there are multiple file categories, you'll see the files are segregated into those categories
    3. Click the Close Attach Files button
  3. To upload a new file:
    1. Select the category you want the file to be in once uploaded
    2. Click the Browse button and find the file on your computer's hard drive
    3. Click ok or open once you've found the file (or double click it)
    4. Click the Close Files button
    5. The file will actually upload once you click the red Save Changes button
  4. When the calendar event is saved, the linked-to file will appear both on the calendar grid page, the individual event's page, as well as in the side calendar box

Attaching a Form

  1. Click the Attach Form button
  2. Select the form in the drop-down
  3. Enter in a label for the link to the form to be preceded by, ie; "Register here:"
  4. Click the Close Form button
  5. When the calendar event is saved, the linked-to form will appear both on the calendar grid page, the individual event's page, as well as in the side calendar box

Attaching an Image

  1. Click the Attach Image button
  2. Click the Browse button and find the image on your computer's hard drive
  3. Click ok or open once you've found the file (or double click it)
  4. Select whether you want the image to align to the right or the left (right is best most of the time)
  5. Click the Close Image button
  6. When the calendar event is saved, the image will appear on the individual event's page, in the side calendar box as a tiny thumbnail, as well as the main image when the event is shared on social media

Recurring Event Options

  1. Click the Recurring Events button
  2. Select one of the left-side radio buttons to choose how often the event repeats
    1. Event does not repeat
    2. Every day, every other day, etc., through every week, every other week, etc.
    3. Monthly on a particular date (based on the date of the original event date)
    4. Monthly on the "1st Tuesday" etc.
    5. Yearly
  3. Choose the date that the event ends. This date, if it is within the scope of the repetition, will become the last day of the event. Please note:
    1. If your event repeats weekly on a Wednesday, for instance, and the end date you choose is a Tuesday, the event will actually end on the Wednesday before your ending date.
    2. If you do not choose an ending repeat date, your repetition will not work
    3. Once the calendar event is saved, the Recurring Options cannot be changed. If you made a mistake, or the event recurring dates have changed, you will have to delete the event and all its child recurring dates, and create a new one.

Editing the Event Text

When creating an event you can add a more full description of the event, or an agenda, or itinerary, or whatever you want. Doing so will turn the title of the event as it appears in the calendar grid, the list of events below the calendar grid, and the calendar side box, into a link to the page for the event itself.

So say it another way...

  • If you leave the long description (inside the Page Editor) blank, the event will not be linked in the calendar's various display interfaces.
  • If you add ANY amount of text to the Page Editor, the title of the event will become a link to a page for the event.

Saving the Event to the Calendar

Once you are done simply click the red Save Changes button. You will be returned to the calendar page with the grid and should see your new event in three places:

  • Listed on the calendar on the date you chose. If there are any recurrences of the event they should all show as well.
  • Below the calendar grid listed with all the other events in date order.
    • If the event has a long description, the title of the event will be a link to the page about the event.
    • If the event has a file or form attached, you will see them following the location and times.
    • If the event has an attached image, you will see it aligned to the right or left as a tiny thumbnail.
  • In the side calendar box (if you have one set up).
    • If the event has a long description, the title of the event will be a link to the page about the event.

Editing an Existing Calendar Event

To edit an existing event you have two options:

  • Go to the event itself by clicking the event's title (if there is a page for it because you entered in a long description)
  • Go to the calendar grid for the month of the event, scroll down, and click the red edit button next to the title. This is the only way to edit a calendar event if there is no page for it.
